- Scanning: The scanning process can either be
done by the customer, internally or by one of our approved suppliers. The output
of this process is the electronic image we will use to key from. This ensures
that where required, the original documents need never leave the customer's premises.
- Transfer of Images: Source images
are then transferred in electronic form to our fully managed secure & dedicated
UK servers or directly to our Operational Centre in South Africa dependant on
a Customer's needs and facilities. We employ a number of sophisticated systems
to manage the flow of these images from the time they arrive in our custody until
the time the capture process has been completed.
- Key
from Image: We utilise internationally acclaimed Data Capture software which
has been designed specifically for high-speed data entry from images. The software
contains the full range of quality assurance checks and statistics for both Key
& Verify modes, including: individual field validation checks at time of capture,
look-up tables, batch management & individual operator output statistics.
Our 'Key' operators extract and capture the client-designated data from the
scanned images into the relevant fields of a database. After Keying, our 'Verify'
operators recapture the information and are alerted to all differences, by keystroke,
as and when they occur - this double keying ensures the highest quality standards
are adhered to. These controls coupled with the average length of service of our
operators being 3 years, enable us to consistently achieve accuracy levels of
99.98%. - Output: Before work is returned,
it is prepared for output through the post processing function. This function
typically involves reconciling, validating & merging of processed data into
the agreed output format. Information is then returned according to the agreed
upon schedule which could range from one month to a few hours.
